If configured and used correctly, Parallel Dialer has the potential to transform the way you and your team functions. Hence, it is necessary to understand some of the best practices around using a Parallel Dialer.

Best Practices

Prospects Addition:

  • A Parallel Dialer is engineered to handle large volumes of outbound calls, ensuring you can reach many prospects quickly.

  • To sustain this rapid calling cycle, it's essential to add between 100–200 new prospects to your list every week, keeping your pipeline full.

  • This steady stream of fresh prospects allows you to rotate your calling list effectively, preventing overuse of any single lead and maintaining overall dialing efficiency.

Number of Dials:

  • While you’d be able to make up to 5 dials per attempt on Klenty’s Parallel Dialer, it is advisable to have not more than 3 dials per attempt.

  • Reduced dialing volume invariably leads to an increased focus on the dials that are happening in front of you, thereby being able to stay on top of things.

  • Remember that along with your dials, your notes, outcome logging and your dialing plans make as much of an impact as your effort into your outreach.

Dials per prospect:

  • It is ideal to make at least 5 attempts to contact every single prospect in your list as a minimum before moving over to the next batch.

  • It is also advisable to not call them everyday, to ideally have a 48 hour delay period and to call them from different phone numbers.

  • You can also try calling them at different times during the day as you might see better success rates based on who you’re calling when.

Calling Numbers:

  • It is always a good idea to have a few numbers set up and available on your account to dial from, somewhere between 3 - 5 numbers for each of your salesperson.

  • If the same number is used too frequently, there’s a chance that they may end up getting marked as spam and so rotating phone numbers help.

  • Assigning a phone number to a specific follow up step or using a local dial to pick numbers based on your prospect’s location can help improve your answer rates as well.

Voicemail Detection & Next Steps:

  • It is important to have your automated voicemail configured and a clear next step given to the Dialer on how it should handle any call that does not get answered.

  • Industry standards for cold calling generally agree that 80% of your calls will go to voicemails and so you need to have a clear plan on tackling this as part of your dialing.

Call Answered Next Steps:

  • It is recommended that you stop dialing other prospects if one of your calls gets answered.

  • Every call would be important and we wouldn’t know until we go on that call and talk to the prospect.

  • So, it is important to be 100% on the call with the prospect whom you’re talking to.

Tracking call statuses:

  • A Parallel Dialer is not a single achieve-it-all solution that will magically work out for you. It has to be used in tandem with your click to call one off dialer.

  • It is important to stop periodically, check for the progress of your session and make note of your prospects and attempt one off dialing as you see fit.

  • This would ensure thoroughness in your approach and would increase the chances of a pick up.

Tracking answer rates:

  • Each session would be available in the reporting section with details on the answer rates and outcome. This would help in tracking answer rates.

  • Tracking how your answer rates are like in periodic intervals would help to see if your calling number or your calling strategy is working out for you and if you need a change.

  • These ideally would be your feedback loop. This information would go into your next Parallel Dialer session to help improve your process further.

Logging each call accurately:
